Understanding The Top 4 Virtual Assistant Career Road Blocks

Who wants to waste time and work for free? Surely no one does. And while I feel for those virtual assistants who at one point or another felt that they got screwed about work, I'd also have to look at the side of the client who's in turn paying for all the work done.

Having been on this game for quite a while now, you'd be surprised at the many faces that I've come across with. I've experienced not getting paid as well and some point in time. Analyzing the events that came my way and those whom I know, I've come up with the top 10 reasons why Virtual Assistants don't get paid.

Conquering the language barrier

We all speak English but there's always this certain vague spot when we communicate that in turn gets the client on guard. What most virtual assistants don't realize is that no matter how fluent we are with the language, it's the interpretation of what we write that makes a difference. It has always been a tendency for a virtual assistant to make good of their chat messages and emails. What I realized with this practice is that in an effort to look good or sound good for this matter, we end up sending the wrong message which often leads to misunderstandings, thus the client turns their back not even wanting to hear what you've got to say. It's best to keep it simple and not elaborate too much on what you want to say. Don't be afraid to ask or even admit to the client that you're getting a wrong interpretation of what he or she is saying. I'm thanking Jing and Screencast for this. These tools have helped me impart the real message that I want to convey without fear of being misinterpreted.

Letting your emotions get in the way

There are a lot of virtual assistants out there who has this tendency to take everything their clients say seriously. This practice normally leads to half heartedly done work and thus ends with the client walking away. I mean, seriously man... these clients need help to expand their businesses. We can't put the burden of our lives to them. It's supposed to be a professional relationship that's existing between the two of you. If you're too sensitive, chances are, you'd end up in a likely debate on certain things especially that which is work related. Continuing to argue would just make them turn their backs and walk away.

Getting Too Close for Comfort

Your virtual relationship with your client will not prosper if you'd always put color on everything he or she says. There's a thin line between being insulting and focusing on work. As things are, we can't quantify the kind of pressure they have on their shoulders enough for us to even understand why they're acting that way. The point of the matter is that we're there for a reason... and that's to do a job. Keeping a close relationship with our clients is normal. But let's keep that thin line in between so that your clients won't feel we're taking advantage of them. I had a client complain to me about this VA of mine who seemed to be spending more time on Facebook than the tasks she had on hand. Apparently, this Virtual Assistant in question didn't even realize that by being connected on Facebook, their connections can see that they're online. And by God, she didn't even know that there's such a thing as groups that you can turn off chat on. It's a stupid mistake on the part of the Virtual Assistant but I'd have to say you always need to be on guard when juggling tasks or things that you do. Otherwise, you'd have your own time sheet questioned because of your own doing. I had to take away that virtual assistant from my group after a lot of second chances and benefit of the doubt.

To further discuss on this issue as this is among the most usual problem that I see. There are times that when the client is trying to be nice, we tend to go overboard. It's like he gave a hand and we took the entire arm. I had this experience with the same VA that a client complained about. Her style is to befriend the client and then when she feels they're close, she'd start mellowing down on her duties. Perhaps she thought that "they're friends anyway." Then what happens is she'll just put hours in even though the production wasn't at par. You'd probably guess what happened. I got flagged with her time sheet and didn't get paid for the work she allegedly did. I sided with the client on that regard. How can i justify something that I can't quantify? Virtual Solutions is all about results. Without anything to show, how can we even charge hours worked?

Letting the Air into your Head

This is a normal attitude that goes along with being too emotional about everything. While I'd like to think that only a few "Virtual Assistant Wannabe's" act this way, there's always a 50 percent chance that you'd stumble into one in one way or another. A lot of beginners or what i normally call VA wannabe's often think that you've written a couple of articles and you're the best writer in town... or perhaps when you get praised on something, you're the bosses pet.

I don't know what kind of magnetism I have when it comes to attracting goof ups but I've had a few brush ups with these lot too. I've been more of a philanthropist when it comes to sharing what I know thinking that I can share what I know but would always perform the same tasks differently from those I teach. That's why it's so easy for my team to get penetrated by people who have a slight shortness on intelligence should I say. I saw the potential of teaching writing on one VA and I grabbed it. Who ever thought it would give an impression that he's the best? It would sure look bad if I'd have told him that he's all I've got to settle with at the time, wouldn't it? Nevertheless, I've always liked giving people the benefit of the doubt. I'm not really teaching new tricks. It's more like I'm teaching people how to view this job that I've embraced for quite a while. Anyway, he wrote a few that got through and he felt like he's up for a Nobel Prize only to realize that his type of writing only means something for clients who are not particular about content for as long as the keywords are there. Of course, this was devastating for the guy. It's not that easy to accept rejection.

Now I'm only listing my Top 4. I'm pretty sure a lot of you have other experiences to share. I can't help but smile whenever I hear virtual assistants complain about not being remunerated for their work. Having been in the business this long, I've learned that it's really a two-way process. You need to give respect in order to gain respect. So which one are you?

Working From Home Without Losing Your Mind

How do I do it? How do I work from home with a 5 year old and a 1 year old without losing my mind? Well, honestly sometimes I feel like I just want to hide in a closet and sleep but since that isn't an option I have some tricks that I use to make sure my day runs as smooth as possible and the girls still get their Mommy time. I work from home as a Virtual Assistant and I have a team of awesome people who also work with me. So how do I do it? One day the girls will be in school all day and I will have the 'office' to myself but until that day arrives I have a few tricks up my sleeve.

Nap Time

Do not, I repeat DO NOT schedule a client call 20 minutes before it is nap time for your baby! I did that once and was so embarrassed. Abigail was so fussy, all she wanted to do was cuddle up with me and take a nap. But since I couldn't really snuggle with her at that moment all she did was scream and I had to tell the client that I needed to call them back.

Instead, schedule your client calls for around when your baby wakes up from their nap. They are more than likely ready to play alone and be content without you for a about 20 minutes or so while you take the call. I have also tried to schedule client calls for when she is napping, however this can backfire on you because when they wake up they are screaming and you need to go into their room and pick them up etc and the client will hear all of that.

Movies

I've been known to turn on a movie in the afternoon to help get me through that dreaded 4:00 - 5:00 hour. That is the time when they are a little sleep, hungry and cranky. I get them a snack, get their pillows, blankets and make a little snuggle nest for them to chill out in. Then I turn on a movie and it keeps them quite for a little while and gives me some time to work on a project.

Purses & Boxes

When working at my desk or even in the playroom I get a few bags or purses and fill them with little toys. For some reason my 1 year old loves to unpack and repack bags and purses, this will keep her busy for about 15 minutes and sometimes that is long enough for me to do a quick email to a client or finish up a project. When she comes crawling over to me I plop down a purse in front of her and say "wow, what is in the bag" and she in good to go! I also keep a small toy box in the office and near my desk. It is filled will all kinds of random toys. I often rotate the toys with others around the house so the box isn't full of the same old stuff. This is great for cleaning up the room too, just toss it all in the box and poof the room is clean.

TV Time

How much TV does your kid watch? If you tell me less than an hour a day then you are lying and you have a maid, cook and nanny! There is nothing wrong with turning on Nick, Sprout or The Disney Channel while you get some work done around the house. I do however strongly encourage that for every hour your kid watches TV you spend time with them playing a game or reading a book or even dare I say it...go to the park. There certainly has to be a balance so be sure to not have your kid watch TV all day, just a few hours is good.

Important News

Do your kids always bug you the moment you are on the phone? To help curb this behavior I tell the kids that I am going to get on a call with a client (they know what that is) and I ask if they have any important news for me. I give them about 10 minutes to 'think' about it and then I get on the call with the client. Generally, they will come to me just few minutes before my call and tell me something crazy about school or one of her friends and I thank them for telling me the important news and then remind her them I am about to get on a call with a client. I would have to say that this one works very well.

Play Date Trades

I often have my kids go on playdates and that is the perfect time to sneak in some client work. Just be sure to repay the favor and have your kids friends over for some fun as well.

Have a Satellite Office

I utilize Gmail and online project management tools so I can work from any computer, anywhere. I have a few office spaces around the house. The main office is downstairs in our 'office' and that is where most of my work stuff is kept such as books, binders and resource materials. Then upstairs, tucked in my bedroom I have a desk for my laptop. This desk is pretty cool because it looks like a dresser, and even has 3 drawers and desk space. I spend a lot of my time upstairs, the play room is upstairs and so it the laundry room and the girls bedrooms. I find that this is a good space to work in because I can work at night when the baby is sleeping I don't need to run upstairs to get her when she wakes, just a short walk down the hall. My other workspace is a small table in the play room. There are times when I need to be in the same room as the kids, normally when they are watching a movie I am in the room with them. I set up my laptop on the little table and all is good.

Invest in an Android phone or iPhone

I used to have a Blackberry and thought it was fantastic, but I also got it 2 years ago. My contract was finally up and I upgraded to a Samsung Epic phone which runs on the Android network. Having a phone like this is super because I can work from anywhere. With my BlackBerry, I was able to get my email and get on the Internet but with an Android phone, it is a a whole new ballgame. The network is so much faster now, especially with 4G and the ability to connect to WiFi networks. I can log into my blog or even clients sites and make changes as needed. I am also able to connect to my project management system, Basecamp as well as my invoicing tool Freshbooks. Just the other day while out to dinner with the family I was able to draft up an invoice and send it off to the client and was paid within minutes!

Don't Do It Alone

Lastly, I have to advise any Virtual Assistant to develop a team of people to help you out. It was the best thing that I did to save my sanity. I was really hesitant to do it at first because I thought that I wouldn't make any money if I was 'farming' out all of the work. However, what I found is that the clients that I already have really welcomed the idea of being able to take advantage of more services that I had to offer and ended up purchasing more hours from my company. So not only was I able to continue to work on their project, but I was able to give out work to my team as well.

The Client Contract - Unwritten But Essential

In A Cleaning Business The Client Contract Is Unwritten But Essential

Those of you who have read other articles I have written on customer service will know that I believe that the customer is always right. Even when they are wrong, they are always right. A cleaning business is a place of strong relationships and trust, and as part of this the customer is always right.

There is no point in making someone wrong and even proving it with all the facts at your fingertips. It makes them feel like they have made a mistake and often they will blame you for making them feel that way because you have shown them the errors they have made. It is not a good thing to do because they are likely to go somewhere else for their services instead of coming back to you again.

There are however at least two situations where you may need to show the customer they are not correct.

The first one is where there is a major discrepancy in the accounting. If you believe they have not paid you for your goods or services, then you have the right to make your case and prove to the customer that they have missed payment. After all you are in business to earn a living and make money, so I believe you have the right to state your case clearly.

Don't use this approach over a few dollars however. It is not in your best interests to make a case over a simple error that will not make much difference to your bottom line. Just make sure it does not happen to you again. You might let one instance of a small amount go through, but I hope you would be more wary, especially if it happens more than that. That is a coincidence you don't want to repeat. If it happens a third time it becomes a pattern.

The second situation where it is relevant to stand up for yourself is in the unfortunate case where there is abuse. If there is a matter at issue that needs to be resolved keep the customer on side. Do not get angry or take offense as far as possible.

But when the customer starts to make it personal and becomes abusive it is time to change tack and retreat. It is at this point that the contract between customer and you is at an end or at least suspended. They have crossed the line.

There is an unwritten contract between client and service provider that is about being mutually respectful. By not making them wrong you are upholding that contract. When there is a dispute that deteriorates into abuse that contract is broken and the rules are gone.

In this situation it is important for your reputation that you do not indulge yourself and take part in a slanging match. If you do, it will be all over town by morning. You need to walk away from the situation, and never go back. If you have to leave behind the money for the service, do it. Any client who starts to abuse you is not worth the money. If the client contacts you again and apologies, asking you to return (is that likely?) then you need to make a judgment call as to whether you want to go back there again, and whether the situation might recur or not. You are in my opinion perfectly entitled never to go back if you have the least doubt. As I always say, you are not desperate.

It really is a relationship between yourself and the customer.

This breaking of the rules has other forms as well. Any form of sexual approach that is unwelcome is an example. Treating you with disdain while pretending to be civil is a borderline call.

We once had a client whose husband clearly resented our being in the house. He would come home from work when we were there, and once he left our money in the peanut jar! (He thought he was being clever, and being dumb cleaners we wouldn't get the point.) In the end we had no choice but to leave. It seems the only person who was going to clean his house was the wife.

These examples are just some of the situations that can arise and start to break the contract between you both. If you are starting to feel like you are not being respected, honour the feeling, and find what is happening to break the trust. If you find you have not been living up to the contract yourself you will need to take steps to rectify the problem, and quickly, starting with an apology.

But if the break-down is coming from the other side you have the right to walk away. Do it with dignity and your reputation will not be hurt. The contract has been broken.

Voice Over Recording In The Woods - A Surprise on My Vacation

If you think you need to go to a commercial recording studio to record professional quality audio, think again. What follows is a description of how a voice over job was recorded unexpectedly while on a camping trip. If THAT is possible, then recording pro audio from a room in your house should be easy. Well, it is, but I have trouble convincing people of that.

You'd think it would be a pretty good bet that I could take a week off without having to record any audio. After all, I've had to actively submit auditions for every voice over job I've gotten. So you might imagine my surprise when I got an e-mail on the 2nd day out (why was I checking e-mail? Brand new iPhone...but that's a different story:)) I received an offer for a voice over job I hadn't even auditioned for. And they couldn't wait a week. It was take-it-or-leave-it. So I decided to give it a shot. Here is all the equipment I had with me.

1. iPhone

2. Zoom H2 Handy Recorder

3. Netbook computer with an 11 hour battery life

We were going to be doing some singing, which is the only reason I had the recorder. That's my story and I'm sticking to it.

Anyway, here is how it went. The client e-mailed some scripts and instructions. I used my iPhone to read the scripts, holding it in one hand, and recorded all my parts while holding the Zoom H2 in my other hand. Once I had recorded all my files, I ejected the SD card from the H2 and put it into my netbook. I used the Internet Tethering feature of the iPhone to connect my netbook to the web, downloaded Audacity, and edited the audio files (noise gating and reduction, cutting out bad takes, etc.). Finally I uploaded the files to the client's website.

It was definitely a first for me. What made it work was that the Zoom H2 can record at up to 24-bit/96kHz on its stereo mic setup. The client specifically requested a minimum of 24 bit and a 44.1 KHz sampling rate. I could not have done it with a really cruddy mic.

So now I know there is no reason to ever fear losing out on a recording gig when I'm on the go, which means you can too. All 3 required items fit very easily into a quite small hand bag or back pack.

Happy recording!

Make R5,000-R6,500 a Week Writing

Public Relations stories!

Yes, you can make R5,000-R6,000 a week from home. PR is the art of getting free exposure through newspaper articles, radio shows and TV programmes. Swanky agencies charge thousands for doing what you can do cheaper, better and more profitably from home.

1. Every company needs PR but medium-sized businesses are your best clients. Target clients in your immediate area. It's easy to get free exposure for local companies from your local newspapers, for instance. They're crying out for good stories to fill their pages.

2. Agree to a new PR story with your client every Monday morning. The best stories include:

A new product or new lower price.
A big deal that's just been signed.
Charity donation.
Your client's take on an important local or national story.
"How to" information leading to a recommendation for your client's services.
Leadership or specialist advice (from the company's MD).

3. Now write that story up into a press release.

Use the firm's stationery.
Write "News Release" in capitals across the centre of the top of the page.
Place the words "Release Date" a few lines below this and put the date.
Lead with people, names, local interest, exciting headlines and newsworthy angles.

Don't over "rave" about the company you're representing. Good publicity is inferred rather than stated.

Make sure the press release includes full contact details for your client's business.
End with your contact details in case the journalist wants more information.
Write in the style of the publication you're targeting.
Ensure the company you're working for approves every press release before you send it. It's embarrassing and unprofessional to have to withdraw a press release before the publication you sent it to goes to print.

4. Mail, fax or email newspapers, magazines, TV and radio stations that match the target market of the company. Wednesday and Thursday are good days. Journalists are often desperate for space fillers at the end of the week.

5. Develop a relationship with the editor of your target publications. Issues are usually planned three months ahead. So ask for their features list and see if you can contribute a "space filler" that will suit these articles. But don't expect every article you submit to be published. If an editor doesn't like your piece, ask for some feedback so you can submit a better article next time. But don't harass the editor!

6. Bill your client. A short paragraph or 20 seconds of airtime can literally be worth R5,000-R50,000 free advertising to your client. So, even as a newcomer, you should charge R1,000-R1,300 for writing one press release. Build a base of five regular clients and you'll earn R5,000-R6,500 each week from part-time home PR. (It's also a good idea to charge per article to start with and then move onto a monthly retainer fee thereafter.)

7. Keep a clippings file of all published press releases to build your own personal portfolio. And don't forget to send your client a copy too.

Even one or two hours worth of work a week could secure you as much as an extra R6,500 a month!

Great Sites Bring In Many More Customers For Sure

Many companies and individuals have their own sites on the internet these days. They offer just about everything from information to goods and services at very competitive rates. However, it is very important to build this site up to look wonderful since this is usually the front door to the rest of the site. Web design companies can advice the novice on what to put on the site, and what not to, so that people will be attracted to it. A web development expert will surely know what is in vogue so that more customers are drawn here.

The first thing that any site owner wants is to make sure that prospective clients can navigate around the place without too many problems. If a client gets bored or finds it too difficult to get information, they will surely be tempted to look elsewhere for what they want. This lost traffic is the loss of a prospective sale, or the finishing off of a lucrative relationship, so this should be avoided at all costs.

Any company which delivers direct to the consumer must surely have a very simple order form online. This means that anyone, no matter how computer illiterate, will be able to fill in each box easily. If this is fresh produce, there should also be a box which the customer can tick to make multiple orders. This works well too with magazine subscriptions since they usually come out every month or so. Also, the client will also want to check on what he has ordered and where the order is at any stage in the process.

Some goods will also fluctuate in price rather a lot. These are usually fresh goods where the market price is in constant flux. There must be a facility whereby the price can be changed easily but where those orders already made do not get affected by this buying price.

Since most order forms on these sites automatically add the shipping charges for the goods once the address has been put in, this makes it very simple for the client to confirm the order once they have finished shopping. But added to this must be a secure facility where the client can put in credit card details so that his information is kept as securely as possible.

What most companies fail to see when they are building their sites is that bad news travels very fast. Thanks to this information highway, if the company messes up, the world will know about it in very short time. Therefore, it is very important that the company sticks to its word and delivers when it says it will. Otherwise, the orders will trickle to a halt before too long.

If it sticks to its word, and only delivers good that meet the prescribed standards, then the company should become more successful once people discover them online. The more hits it receives on search engines, the better for them since they will soon be on the first page making them a popular choice amongst the public for sure.

To dive straight into the topic, not all that glitters is gold and in the world of freelancing there are always some black sheep. Often you have to be afraid if the client is satisfied and even worse if he actually pays for your work. That is why you should never do bigger projects "over the counter" but use freelancer sites. On these sites you can be sure that you are getting paid if you deliver quality work.

It's not always easy to earn some reputation on these sites. But what can we do to earn reputation and get better chances of finding the big job offer? Besides of being friendly to the clients you should always be honest with your clients. Do not think of the amount of money you can make with a specific job in the first place. It's better when you stay naturally and honestly tell the clients if you got some problems or if there are parts of your delivered work on which you can't guarantee 100% correctness.

Of course this sounds weird but always think that there are always human on the other side and every human likes to be threaded with honesty. For example I had one client on a freelancer site for whom I worked really hard but always told him if there were parts (it was a big translation job) I can't guarantee if it's 100% correct. He let his team of proofreaders check the files and it turned out that they were all hugely satisfied. Now some weeks later I got a bonus payment of 90$ straight into my account. That is why I can not stress enough how important it is to be honest with your clients if you want to stay on the road and earn money online!

Of course you should wisely use your honesty because if you're too honest right from the start, it could happen that someone else who claims to perfectly finish the job will snatch it. So you have to find a healthy degree of using your honesty to build strong relationships with your clients that in fact pay off!

Newsletter Publishing As a Home Based Business

Newsletters are just like magazines but not as long. A newsletter is anywhere from one to eight pages in length in an 8.5 x 11 inch format. If you can type, you can create a newsletter.

The primary mission for the newsletter publisher is discovering and satisfying the information needs of their niche. For example, if your newsletter is about dogs, you may want to write about fun places to go and cool stuff to do with your dog. Include information that helps your dog's health and any information you can dig up about a certain breed of dogs.

When choosing a niche, choose something you know quite a bit about. It's hard to write about something that you don't know.

Subscription Newsletters

Earnings from a subscription newsletter come in whole or in part from subscriptions paid by readers. To boost income, some subscription newsletters sell advertising too. Some also sell products and services.

Advertising Supported Newsletters

Advertising supported newsletters are distributed free of charge to readers the advertisers want to reach. For example, a newsletter is produced for a health club and it is entirely supported by advertisers who offer products and services to health conscience people. The publisher must build up a large enough reader list that the publication becomes attractive enough to advertisers to underwrite the publication costs and the publishers fee for writing and distributing the newsletter.

Contracting to Produce Newsletters for Others

Many companies could benefit from having a newsletter but don't have the time, resources or know-how to publish their own. You can offer to publish one for them. You may write and produce the entire newsletter for your clients, including contracting with the printer and maintaining the mailing list for the distribution of the newsletter. Or you may do whatever portions of the process a client needs.

Creating Newsletters Used by Multiple Clients

You can write a standard monthly newsletter usable by the same type of client, such as accountants, dentists, doctors, veterinarians or insurance agents. Customize the first page with a message from the client and a photograph plus any other custom touches he or she may wish.

Newsletter publishers usually bill clients either a flat fee per issue or charge based on an hourly rate, but either way, each of the services performed should be priced separately.

Creating Your Freelancer Profile

If you are a freelancer struggling to land your first gig, there are some things you need to do. First off, you need to polish your profile and boost it by means of taking exams or certificates that will prove to your potential clients that you are indeed their best choice.

Take the time to fill out what you want to write about yourself when you are writing a cover letter. Clients are most likely to hire someone who writes in a sophisticated way than those who write casually. Be more formal when writing a letter to your potential client.

Personalize every message you send. This includes cover letters or application letters you send for each client. Most of the time, people are too lazy to think of messages to send for different clients so they end up writing a generic one. This can turn out to be a bad idea when there are different jobs that require different skills.

Try to diversify when it comes to your email subject heading. The more you spin things up according to the subject of the email, the more interesting it becomes for your client to read. Make sure that the subject is still in line with the topic on your email body.

Most freelancers want to work closer at home so they would rather book clients that are near them. But why limit yourself to local business when the internet provides you with an international opportunity?

There is nothing wrong with asking questions especially if it pertains to your current application status whether you are hired or not or simply you just want a dynamic working relationship with your client. Sending followup messages can either throw your relationship away or strengthen it. Be respectful when it comes to followup emails.

Never stop looking for a job even if what you have right now is long term. Do not turn your job search option off as it might be the key to have a long lasting job as a freelancer.

People might say that only the skilled ones would land the perfect job but what they do not know is that people who have confidence and those who know how to sell themselves are those who land the job against those who really have the skills. Learn how to sell yourself.
