Delegation and Outsourcing Part Two: A Mompreneur's Answer to Time Management Blues

Learning how to delegate and outsource effectively and efficiently will help you have more free time in your day to do those things you love to do, such as more activities with your family and creating revenue-generating programs for your Mompreneur business. You can't have more than 24 hours in a day, but you can manage it better!

In my prior article, I asked you and your family to do a time analysis for two weeks to see what is draining your time. Once the analysis is complete, you'll have come up with numerous options that can either be delegated or outsourced to others to maximize your available time. Next, you'll need to have that time analysis spreadsheet handy as you'll now going to go through it and identify what can be delegated and what can be outsourced.

Step One - Have a Family Chat and Start Delegating

Empowering your "team" is truly the key to success. Get some truth serum (okay, only partially kidding here) and find out what they are really skilled at doing and what they enjoy doing. When you have a team that enjoys their "assignments," it doesn't seem like "work" to them and they will feel like they are contributing to the overall family goal of having more time, which is great! They'll work hard to produce excellent results over and over. Take a look at the family list and delegate any applicable tasks to the appropriate family member based on what they love to do/are skilled at doing. Once you've done this exercise, you'll likely have some items left, which means it should be outsourced. Moms, of course use your own judgment to keep the work distribution equal, fair and suited based on age appropriateness.

How do you keep track of what the family is handling? I recommend getting one of those big whiteboards you can put on the wall and post in the kitchen area. Have a column going down for each family member and have a row of tasks across the top and place a checkmark under the task a person is responsible for. Or you can also use a wall calendar and indicate the person/task on the appropriate date for completion. Have fun with it! Poll your family on what they would like to use. Perhaps a sticker system would keep everyone motivated. The point here is to be creative and keep it fun!

Step Two - Outsource the Rest

Now that you have your family involved with helping and creating more time for all, it is time to outsource the time wasters so you can have more time to do what you love to do! Take a look at the remaining items on the list. What does it look like? Here are some ways to start outsourcing:


Is it something that can be done in-person, such as housekeeping, yard work, small home repairs, grocery shopping or errands? Check your local phone book or Google the services online. Do you have teenagers living on your street?They love to earn some extra money and are low-cost.


Personal Assistants and Concierge services are available to help with those items you need done in-person as well. This is an industry that is growing rapidly and have locations throughout the world. Check your local phone book or Google the services online. Many companies will allow you to request specific services needed and you'll get a cost quote in return. Check into at least three companies before deciding on the one that will help you save more time.

Virtual Assistants (VA) are another industry that is growing rapidly and saving people time and money. Just a few of the things a VA can help you with is personal finance management, bookkeeping for your business, travel planning, calendar management, research and marketing for your business. A VA would work with you virtually, communicating with you via phone, email, fax, as needed. It is rare that you would meet a virtual assistant in-person.

Does outsourcing cost money? Most times, yes. Sometimes you're able to barter to offset the cost. You'll need to review your budget to see what extra funds you have available to pay for outsourcing. But remember what your time is worth--you could be doing other things you really love to do rather than doing the things you don't. You can use some of the extra time you have to work on creating revenue generating programs and products to pay for your outsourcing needs. And do remember that you don't need to outsource everything all at once. Create a goal chart of the things you wish to outsource so you can look ahead to the extra time you'll gain, bit by bit!

Now that you have a plan in place to get all things accomplished by you and your family, remember to keep the praise alive and reward yourself and your family for a job well done. The rewards don't have to be expensive and can be simple, such as a dinner out, making someone's favorite dinner, going to the park, going to the movie, playing a child's favorite game, and so on. Be sure to praise them for a job well done and give them lots of hugs and kisses. That will go much farther than any reward! I recommend doing a time analysis every six months or so to make sure the system is working the way it should and work out any problems that might arise along the way. Enjoy your extra time!

Creatively Balanced Women in Today's Marketplace

In my travels from Maine to Florida and back again from the fall of 2010 to today, I noticed how creatively the women I've come across are combining raising children or helping their grandchildren and/or elderly parents and coming up with great ways to make money to bring more income to their family budgets. As time consuming as raising children or helping parents/grandchildren is, there is a science to planning all the priorities in their lives. Even in this economy, I've noticed that many of these women are doing very well.

I could be writing about the fact that more and more women are making it to CEO and other executive positions and women's salaries are rising and closer to what men's salaries are as we've made our way into the 21st century. That is very good news in the business world and hopefully will be much more equal sooner than we think. But there's another way women are making sufficient and even lots of money starting their own small business that actually allows these women to work from home and use their creativity and/or have fun while working and earning extra money to help the family sustain a decent living. I've met at least 10 women from different parts of the eastern seaboard who are designing, editing, baking delicious and nutritious foods, making pottery or other works of art, creating idea circles that think of regional and communal ways to earn a living. These women all have family responsibilities in one-way or another. Most have children that they want to be around for when they come home from school and others are care givers to grandchildren or elderly parents. All these women have figured out ways to earn and take care of family priorities.

I'd like to share a couple of the women's experiences with you in this article and the first I'd like to write about is my daughter, Megan. Aside from her being my daughter, I have to say that Megan has shown the world, so to speak, that she can keep her education and career going while raising two beautiful girls with her husband, Jake, who is continuously supporting all aspects of their lives. This family knows how to balance work and family life. Megan makes it look so easy, but I know how hard it must be to keep everything going in the family household: Working from her home office and making a decent living and contributing very well to the family income, raising two girls and putting them on a healthy, learning routine throughout the day (with the help of her husband, of course, and the grandparents, friends, and great neighbors of which are all very happy to support) and is not afraid to ask when she needs help, and finally getting involved in her community and networking with people who generate ideas for business needs and ownership. Megan is also an artist and when she has spare time, spends it on making beautiful pottery (and she encourages her daughters to join in to her gardening and artwork to give them a well-rounded education). Megan is a great example of the new generation's entrepreneurship!

I have another example of a woman who is doing many things to keep her family unit going and thriving. She lives in the south and has the most beautiful piece of property by the Blue Ridge Mountains. She and her husband, after searching for a great place to settle, finally found their dream home. Having visited them a few times now, their place truly is a dream come true. They have two beautiful dogs and they are surrounded by ponds, woods, hills, wildlife of all types and wonderful hiking areas to enjoy. Her husband works long hours and keeps things going, but the economy hasn't allowed for many choices. So, this very good friend of mine decided to find some creative things to do to keep money coming in and also take care of her elderly mother's needs. She has come up with many creative ideas to keep afloat. In addition to being a talented writer and editor, she bakes the most wonderful cookies and treats of all kinds for bake sales, friends, gifts for special occasions and everyone I've ever spoken to about her baking skills have said that they'd spend a fortune on her goods. She also has a part-time job and meets lots of interesting people in a beautiful resort that caters to animals, which is her passion. This woman knows how to balance life and work, and is the reason why she is such a positive and delightful person to be around!!

I have at least eight more stories that I can write about and I continue to hear more because I'm focused on searching them out. I have learned a lot from these women, having to balance owning a business with my husband and our own families, and traveling to help my elderly parents in their final years so they can maintain their quality of life. Here's what I took away from being aware of how women are doing these days...the women I have met:

Knew exactly what was most important to them and why.
Knew how to prioritize their time and try not to overbook their days.
Set learning and goals in order to learn and grow while keeping the family unit going.
Knew how to ask for help and support, with respect and dignity.
Were able to communicate at high levels in order to let everyone know what's going on.
Asked questions and did the research.
Were well educated and went for creative ways to enjoy their work.

I hope this article will inspire other women to do what they love as much as they can. Men too, because I know how happy my own husband is doing the work he loves. It's not just for women that I write this article, but it is encouraging to see so many creative women out there in the world!

3 Work-At-Home Guidelines Guaranteed to Increase Productivity and Sanity

Working at home can be great. If you have the space, the time and the privacy, the home environment can be the ideal workplace. You can't beat the commute. You have your own kitchen and bathroom. You determine the dress code, the hours and the breaks.

Notice how many of those last few sentences started with the word, you? That's right, when it comes to working at home, it all becomes about you. More importantly, it all becomes about how disciplined you are working in the kind of environment where you make all the rules. Even the best disciplined among us can fall into some of the work-at-home traps that end productivity and stifle creativity.

Here's 3 guidelines that consistently work for me.

The TV Is Your Enemy

Let's get this one out of the way first and foremost. Trying to do meaningful work with a TV on at the same time is just not a good idea. Now, I'm sure there are those who feel they can "multitask" with the TV on. There are also those who like to use the TV as a source of white noise in the background.

Well, I'm sorry. I still do not think it's a good idea to try to focus on something significant with a television buzzing in the background. Think about it. That box has been designed specifically to snag your attention and keep it. The lights, the colors and the sounds have all been optimized by marketers and program directors to constantly ply for your attention. That's going to be difficult for anyone to ignore.

Don't take the chance of letting the TV suck you in. Turn it off. If you need white noise, choose some unfamiliar music to play. You won't have the distracting visual clues of the TV and unfamiliar songs won't make you want to sing along. (This happens to me a lot! I now try to stick with background music that has no vocals.)

Beware the Internet Diversion

If you are working in a office, you are almost always aware of the people around you. Your office mates often walk through, stop by for a chat and are just nearby quite a bit. I believe this kind of attention keeps a person in check when it comes to internet diversion.

At the office, you may sometimes take a moment to watch a silly video on YouTube or catch up with some of the latest news or gossip that interests you. This is normal and as long as you aren't breaking any company policies, I really think it's okay. I can guarantee, however, if your co-workers are constantly seeing you distracted and not working, your going to hear about it one way or the other.

It's this slight consequence that helps keep you in check. Even in the type of office where internet breaks are no big deal, most people will get that quick jolt of "I should be working..." when the boss walks by and you're online searching for bargains on Craigslist.

Working at home does not provide this kind of consequence. If you clicked on that blog you're super interested in, (c'mon, you know the one) and you get sucked into a three hour surf session, there's no one there to remind you, "Hey, you should be working." That's all up to you now.

You have to stay aware of how much time you are spending on internet activities that aren't really productive.

Continue to Love Your Family by Keeping Them at Bay

If you are like me, you'll find that you have to work at home while your family is there as well. Sharing space like this can be difficult. You are trying to use the space for focused work and productivity. The family, however, is using it as the home that it is. You need a place where you can concentrate. They need a place where they can chill out, relax and enjoy the time.

Setting proper boundaries is key. In my home, I keep my work upstairs and give the family the downstairs. I try to set a fairly consistent amount of time for my work. They try to give me the time I need and I, in turn, try to make time for them. It's not always perfect mind you, but everyone is trying.

I also suggest having the kind of conversation with your family where you explain exactly what you are doing and why. I believe it has helped my kids to understand why I spend an hour or two alone in the evenings. They know I'm there to work and respect the situation. In turn, I try to appreciate our family time as just that: family time. Not take-calls-time or finish-up-a-project-time.

Certainly there are good days and bad. But I do believe that our set boundaries make it easier for everyone to get what they need.

These guides work well for me. If you adjust the specifics to your own life, I'm sure you will find success.

A profile of a typical client that you will attract is a woman who has had surgery and needs meals prepared for her family. Her husband can probably only cook sausages and the kids want mum back in the kitchen yesterday!
Test the market. Your client will know that the weekly shopping for her family is around $150, so your professional fees to prepare meals could well appear to be modest if you charge $150 plus groceries. Make your minimum contract two weeks and when you get two or three clients simultaneously you will be able to be in production mode. Perhaps she will hire you to cook for her family everyday for three weeks.
You will be able to prepare the meals over the weekend at home then deliver the week's meals on Monday. Your local $2 shop has the inexpensive food containers you'll need.
You'll soon be making $2,000 per month!
Eventually you will find other clients - such as family reunions where you could do a spit-roast with all the trimmings for 60 guests. However once you start, you will find that doors will keep opening.

Two Great Benefits of Being a Home Based Business Dad

There are many benefits to being a work from home dad. Some are very obvious and some are not so apparent. Being a home based business Dad, I can truly state it is a wonderful life. Is it all lollipops and unicorns? Of course not, but the benefits exponentially outweigh any potential pitfalls. Maybe you are contemplating being this kind of father or may know someone is also thinking about making a significant change in their life. Maybe you have embraced the spirit of entrepreneurism and want to pursue it in the comfort of your own private residence. I will give two compelling reasons why you should seriously think about this life altering lifestyle.

I think the most obvious and maybe the most important benefit is quality time spent with your family. Notice I did not state time with family, I stated "quality time" with your family, and there is a huge difference between the two. Quality time gives you an opportunity to really concentrate on each of your family members needs and desires without having a thousand other things on your mind, i.e. mainly your nine to five employment and everything it entails. Your mind is more focused on your loved ones, as opposed to it being cluttered with things that should take a back seat insofar as your quality time with your family is concerned.

A not so obvious benefit, it gives you a great opportunity to do what you love to do and that is being an entrepreneur, if that is your passion. There is no price tag for this lifestyle. When you do what you love regarding your vocation you tend to excel in your chosen field of endeavor, and life becomes a beautiful thing, much more than you ever imagined. You have the potential become a much happier and fulfilled human being. There is something extraordinary about pursuing your dreams and not pursuing someone else's. Yet there are literally millions upon millions of people that have jobs they dread going to everyday. In other words they hate their jobs and tend to be unhappy or unfulfilled at least eight hours of every day Monday through Friday, fifty weeks a year. Let's assume the average unhappy employee works thirty years and then retires. Let's do the math on how many hours she or he spent being unhappy during that thirty year period. I will multiply forty hours per week times fifty weeks (assuming two week vacation per year) which is 2,000 hours. Now multiply 2,000 hours times 30 (years) equals 60,000 hours. Wow, sixty thousand hours of unhappiness, what a terrible price to pay for so called job security!

In summary, being a home based business dad has two very compelling reasons for you to seriously consider, if you are thinking about making this major lifestyle change and working from home. The two aforementioned benefits are my main reasons for choosing this lifestyle. It is by far one of the greatest decisions I made in my adult life. The positive impact it has on my family and me is without measure. The quality family time you can have with your family, only you will know its significance once you have experienced it. Doing what you love to do, and pursuing your aspirations are truly blessings in this life, and the majority of people in the world will never experience this awesome lifestyle.
