Worst Mistakes in an Online Press Release

When you prepare a press release, it is important to note that your release will be competing with hundreds and sometimes thousands by businesses offering a similar product. Businesses use press releases to herald the launch a new product, announce the winning of a prestigious award or to make known mergers, acquisitions and partnerships.

In order for your release to catch readers' interest and stand out from the crowd, you must at all costs avoid certain mistakes. These are the kind of mistakes that would create a negative impression of your business that would be difficult to shake off even in the long term.

First major mistake is grammatical errors. When it comes to communicating with your customers or prospects, grammatical errors are simply unacceptable. Proofread and edit the document before submitting. You might need to do this several times if that is what it will take to ensure the document is perfect. When checking the grammar, take into consideration your intended target market. If your audience is speakers of UK English, then the grammar should be in English. On the other hand, if it is meant for people in the US, then it should be in US English.

A second major mistake is poor formatting. Paragraphs should be short and always maintain at least a single line space between the paragraphs. Large paragraphs look chunky and are difficult to read. Use block paragraphing as this is now considered the standard for professional documentation. However, if you choose to use indented paragraphs, it must be consistent throughout the document. Mixing block and indent does not look professional. The release should neither be too short nor too long - anything between 300 and 800 words should be acceptable.

The third error is shallow, poorly researched content. Remember that the announcement is ultimately meant to strengthen your brand reputation in the market place. Keep the content of the document rich and to the point. After reading the release, readers should come out with a clear image of your intended message. As a guideline, answer the 5Ws and a 1H - the when, who, what, where, why and how of the release.

A fourth common mistake is using the document as a sales pitch. Mainstream media houses and some PR websites will reject any document that is more inclined towards marketing the business and product, than it is informational. The release should simply be a factual document on a specific subject matter. Steer clear of hype. Words that would signal exaggeration such as 'amazing' or 'best' will also put away readers from your product.

Beware of Solicitations Which Use Poor Grammar

Many people are trying to earn money from home based businesses. They are getting huge amounts of emails which are probably scams. They offer all kinds of money making deals.

It is wise to beware of all solicitations which promise you the world or promise a very important business deal which will put millions of dollars into your bank account. It is especially prudent to avoid anything claiming to come from the UK which includes poor grammar. The English generally use proper grammar when speaking or writing. Poor grammar should be a dead giveaway as to the fraud being perpetrated.

The following is from an email. The name has been changed. The poor grammar was evident but has been changed somewhat in order to comply with proper procedure on articles. If there is obviously poor usage of the English language in the email, it should be an immediate red flag that the solicitation is not honest.

"Firstly, let me identify myself without any intention from equivocation, I am Mr. James Black, Financial Expert in one of the top banks here in UK, I will happy if we can business together in good faith and this proposal will be mutual benefit for us. I have a transaction deal in the tune of Sixty Two Million Nine Hundred and Fifty Four Thousand Dollars US to transferred to any possible safe account with your good assistances... I have every possibility & advantage for the proceeds of the fund to be paid your account.

I had discussed this issue privately with the Top Bank Director and he agreed to help and instructed me to look for a foreigner which can be trusted and capable to handle this transaction so that we can secretly move money out from the UK immediately based on Investments plans in your Country. I guarantee that this will be executed under concrete arrangement that will protect from any breach of law. I will not fail to bring to you notice that this transaction is hitch-free and you should not entertain any fears as the required arrangements has been made for the completion of the operation.

Your assistance as a foreigner is necessary because the management of the bank will welcome any foreigner who has correct information to this account which I will give to you immediately, We are starting the first transfer with Thirty Two Million Dollars paid to you. Upon successful transfer without any disappointment from your side, we shall re-apply for the payment of the balance to your account. I am only contacting you as a foreigner because this money cannot be approved to a local person here due to law in the United Kingdom.

They go on to ask for your confidential information and, of course, your full bank account information. After they receive the information from an unsuspecting person who expects to receive millions, that person's bank account may be cleaned out quickly."

The poor grammar used in this and these types of emails should be an instant red flag. There is no way a legitimate operation would function in this manner.

This deal sounds shady from the get go, but people fall for it. The scams are being sent around the world via emails to try and get money from innocent people who just want a chance to earn some quick money. Beware of such solicitations. If you receive one, the best thing to do is to ignore it and immediately delete it. Certainly never respond to such solicitations.

Grammar Lessons For Your Online Copywriting to Enhance Your Internet Business

If you have an online business, you'll be doing plenty of copywriting. There is no doubt about it... we could all use a few grammar lessons reminders. These 5 grammar lessons are some of the basics we learned in seventh grade but may have forgotten. Whether it's copywriting for a blog, sales page or e-book, there are a few little mistakes you need to avoid that are frequently made.

Even though copywriting grammar for the web has become very casual and conversational, these five grammar errors can make your work appear less credible. These little common mistakes are easy to make and easy to over look when you're doing your own proof reading.

1. Their or There?

Their: This is a possessive pronoun. Possess means... to own or control. "Their" gives ownership to a group. "The family went home to their house." "Their home was lovely."

There: It's a place or position. "Go over there." Or, it's a fact or position. "There are some grammar mistakes that are hard to find when proof reading."

When in doubt... just ask yourself... is there ownership involved. If so... "their" is the way to go.

2. It's or Its

It's: It's just a short and casual way of combining two words. It is. Or, it has. "It's easy to make simple grammar errors." Or... "It's been nice to visit with you today."

Its: Belonging to or associated with. "The diamond has lost its luster." "The building site was chosen for its atmosphere."

When in doubt... just ask yourself...am I trying to join two words? If so, "it's" is the way to go. If not... "its" should be used.

3. You're or Your

You're: Again, it's a short and casual way of combining two words. You are. "You're making a mistake by not paying attention to grammar when writing copy."

Your: Like the word "their," it means ownership. However, it's individual ownership. "Your car is sweet." or "What is your name." If you're addressing a group as a single entity, you can use "your." "Go to your homes in safety."

4. Affect or Effect

Affect: Affect is a verb. Ask yourself, "Will it make a difference?" If it will make a difference, use affect not effect. "Improper use of grammar will affect your copywriting negatively." I like to think of it as, "doing to something."

Effect: Effect is a noun. Effect is the consequence of an action. "The effect of poor grammar is, not being considered a credible copywriter." I like to think of it as, "been done to," or "end result."

5. Weather or Whether

Weather: It's the state of the atmosphere. "The weather report says it's going to rain tonight."

Whether: Expressing doubt or choice. "It's not clear whether or not he's decided to leave." Or, "Have you decided whether you're going to take these grammar errors seriously?"

These are the most common grammar errors online copywriters make. Often, they are more of a "typo" mistake rather than not knowing correct grammar. These grammar mistakes are the hardest to spot when proof reading... especially when it's your own copy. Our eyes just seem to skim over them.
